Outlook Is Preparing the Requested View – Solving the Issue!

System and Software Configuration: Windows XP SP2, Microsoft Office 2003, Outlook 2003. Outlook 2003 was installed in the systems for emailing purposes. Since the November month last year, updates had been installing to the test systems. Few days back, the client saw that their Outlook 2003 email client started experiencing slowness issues at the time of accessing Outlook PST files.

Client Query: Since last Sunday, this problem was seen to be encountered that when the users attempted to browse through their PST files via Outlook 2003 email client, the application reported back this message – “Outlook is preparing the requested view”.

To worsen the situation, Outlook also started hanging frequently from a few seconds to even several minutes. After that, Outlook surely displays the contents of several folders, but with a very slow pace. When an already viewed folder is browsed the second time, no slowness is experienced as such until the application is restarted. Many Office related patches were uninstalled one after the other, but unfortunately, no major difference was seen in the speed of the application.

Our Support Team’s First Suggestion: We told Rieman to first turn off the “View” >> “Show in Groups” menu option, and then restart his MS Outlook application.

Our Support Team’s Second Suggestion: For slowness issues in Outlook, the majorly responsible thing is the large size of the PST file, which when increases considerably in size, starts to affect the speed of the application sooner or later. Outlook starts hanging and takes longer than usual to perform even the most trivial operations like sending/receiving emails, moving folders etc. Also, sometimes, same email receives twice. To solve such issues, the best way is to reduce the size of the PST file, which can either be done by splitting the large PST into several smaller chunks or by compressing its size altogether.
